About the Position:

As the Marketing & Partner Operations Manager, you will be the owner of the systems and infrastructure that drive demand generation and partner-sourced growth. You are expected to identify the problem impacting funnel performance and ensure the system changes are made, end-to-end, to improve efficiency across the revenue engine.

You drive impact on the acquisition side by building durable systems that make channel and partner performance visible and improvable, not just reported after the fact. You define the fix and configure the system directly as a HubSpot admin, partnering with Business Systems, and you’ll need enough fluency in Salesforce to ensure these systems connect seamlessly.

This role reports directly to the Head of Revenue Operations and will not have any direct reports.

This is a remote role based in the United States. Please note: ChowNow is not eligible to employ in every state and the recruiting team will confirm location and eligibility before moving past initial stages.

Responsibilities include:

Reporting & Workflows

  • Own top of funnel lead routing & assignment, scoring, enrichment, and lifecycle management, built and maintained directly in HubSpot. Partner with Biz Systems on LeanData-side configuration

  • Establish clear rules of engagement and ensure attribution logic is accurate, so leads are correctly mapped to the right channel — maintaining the data integrity needed to measure channel ROI with confidence.

  • Accelerate revenue and improve pipeline hygiene by implementing automations and workflows across the lead-to-customer lifecycle.

  • Proactively identify and fix funnel inefficiencies — including MQL/PQL → SQL handoff rules and SLAs with the Sales & CS Business Partner — to improve speed to lead and conversion metrics.

  • Partner with GTM Analytics and Biz Systems on Salesforce data needs for models like Propensity to Revenue or Propensity to Close — ensuring the right fields exist, data flows cleanly between systems, and resulting scores land in Salesforce in a usable way. Model logic and validation stay with GTM Strategy & Analytics.

  • Partner with the B2B Marketing team to improve lead management and nurture across all channels (marketing, partnerships, rep-gen) — how and when leads get warmed for the Sales team.

  • Deliver ad-hoc reporting for Marketing & Partnerships teams.

  • Forecast and project expected pipeline contribution by channel to support GTM planning.

Marketing Ops

  • Own end-to-end delivery of marketing workflows and campaigns — build, launch, and post-launch verification — to keep the funnel healthy and acquisition on track.

  • Manage the marketing tech stack, including HubSpot and Salesforce infrastructure, integration, and field mapping requirements.

  • Standardize campaign management and reporting in SFDC to ensure consistent tracking across Marketing-sourced pipeline.

  • Partner closely with Marketing team to execute, measure, and scale multi-channel campaigns

Partnerships Ops

  • Own end-to-end delivery of partnerships  workflows and campaigns — build, launch, and post-launch verification — to keep the partner pipeline healthy and performing.

  • Own partner tech infrastructure including Partnerstack and Salesforce, integration, and field mapping requirements

  • Analyze partner-level lead quality and conversion, collaborate with Partnerships team on incentive experiments to boost performance, and track impact to learn what works

  • Monitor partner discount usage, ensuring discounts are only applied to partner-referred deals and flagging misuse that could erode ASP. (Comp design sits with GTM Strategy & Analytics; comp operationalization sits with the Sales & CS Business Partner).

You Should Apply If You:

  • Have 5+ years of experience in marketing operations, revenue operations, or a similar systems-focused role, with hands-on HubSpot administration experience

  • Have a background in B2B SaaS

  • Are a genuine systems builder — comfortable owning a HubSpot instance end to end, not just using one

  • Have real depth in lead-to-cash mechanics: routing, scoring, enrichment, campaign tracking, conversion, and attribution

  • Instinctively look for where automation can remove manual work and speed up the funnel

  • Can go from “here’s the problem” to “here’s the system change that fixes it” without a handoff

  • Have enough fluency in Salesforce to ensure HubSpot and SFDC connect seamlessly. PartnerStack experience is a plus

  • Have strong problem-solving skills, with the ability to navigate ambiguity and drive solutions proactively while working with minimal direction

  • Are comfortable in a fast-paced, scrappy work environment and aren’t afraid to ask probing questions

  • Have a high attention to detail, particularly around data hygiene, access/permissions, and workflow configuration

  • Are a strong cross-functional communicator, especially with Marketing and Partnerships stakeholders

The role, in a nutshell:

The Financial Systems Admin will support the day-to-day administration, maintenance, and improvement of Chainguard’s financial technology ecosystem. Ellipsis is emerging as a market leader in “GEO” for B2B technology companies. This is a high-impact, hands-on role in a fast-moving and ambitious agency.

The transition to AI search has put a lot of the SEO industry on the back foot. Ellipsis has always been consultative/strategic in our approach, we started building AI search products in 2021 on GPT-2, and thus this has been a time for us to thrive.

Today, we think we have a better understanding of AI search than almost anyone else. We have both the tracking product (built in-house), the data (~25 million AI answers for analysis, with more tracked weekly), and the execution end-to-end from strategy, to writing, to in-house design, to optimisation, and performance reporting.

We're looking for an Executive Assistant to help our Founder and Managing Director, Alex, and our Chief of Staff, Anna, make the best possible use of their time, while ensuring important work across the business is prepared, coordinated and followed through. You'll provide day-to-day EA support to Alex and work closely with Anna on wider business matters.

You will be the metronome that helps the business keep moving. Your work will be extremely high-impact, and you’ll be involved at a high level across the business. This is not a general operations role: your focus is excellent executive support, careful coordination and practical follow-through.

This position can be broken down as follows:

60% support to Alex.

40% support to Anna on wider business priorities, including finance and people administration.

Remote work requires trust, and in this role this will be absolutely critical. Trust is built over time, and accordingly your responsibilities will grow over time. Our hope is that you will prove indispensable to the business, but we understand it will take months to get to this place. Thus, below is a list of some of the responsibilities you’ll be able to grow into over time.

 

Support to Alex 

Your most important responsibility is helping Alex maximise his time, protect his attention, reduce unnecessary context-switching, and stay focused on the work where he adds the most value.

  • Calendar management: Own and manage Alex’s diary and calendar. Protect focused work and create space for strategic priorities. Make sensible scheduling decisions using your knowledge of Alex’s priorities, resolve clashes proactively, and account for preparation, travel time, location, time zones and the purpose of each meeting. Challenge or reorganise meetings where there is a better use of Alex’s time, and make sure Alex has the right preparation and information before important meetings.
  • Inbox and communication: Assist the Managing Director with maintaining an organised and efficient inbox, including drafting replies or responding directly on his behalf at times. Effectively triage emails, understand possible courses of action, and present information to Alex in a way that lets him quickly provide a batch of responses that unblock you. Chase outstanding replies, actions and commitments, and build templates and systems for recurring email patterns so that important messages and obligations do not disappear.
  • Briefings: Prepare a clear, concise morning briefing for Alex at the start of each day before he logs on (8.30am uk), giving him an overview of his schedule, priorities, deadlines, outstanding decisions and follow-up. Monitor his relevant communication channels, use judgement to identify what needs his attention, and make sure he is reminded of important to-dos, commitments and preparation ahead of time. These briefings are sometimes also required in the afternoon. 
  • Day-to-day tasks: The remit of this role is not “follow this clearly defined process every time”, but “take this mostly finished project and figure out how to proactively take it to completion”. These tasks might touch project management, writing/editing, triaging information, posting on LinkedIn, research, drafting communications and ensuring action is taken. You’ll need to work out the information, stakeholders, decisions and follow-up required, rather than waiting for every task to arrive as a fully documented process.
  • Meetings: Prepare for meetings, including ensuring slides, agendas and internal notes are prepared. Your goal is to ensure we utilise meeting time most effectively and are able to put our best foot forward. Use approved AI tools to capture and summarise meetings where appropriate, then check the output for accuracy and missing nuance. Extract decisions, actions, owners and deadlines; create follow-up tasks and communications; and make sure agreed actions are completed. This is about excellent preparation and follow-through, rather than traditional minute-taking as an end in itself.
  • Travel: Coordinate complex travel for Alex. Prepare clear itineraries and manage flights, hotels, transport, meetings, dinners and contingencies.
  • Occasional personal administration: This is a business-focused role and the overwhelming responsibility is with the business. You may be occasionally asked to take care of personal admin for Alex where this meaningfully protects his time.

 

Support to Anna and the wider business 

You will report directly to Anna. Outside of supporting Alex, your role is to help her deliver wider team and business priorities.

  • Finance administration: This is an important part of the role. Support Anna with Ellipsis's day-to-day finance administration. This includes filing expenses, collecting invoices and receipts, preparing client invoices for review, gathering freelancer and supplier invoices, preparing payment information for approval, and chasing late client payments. You'll keep records accurate and tidy, help manage the finance inbox, and flag discrepancies promptly. Anna and our accountants remain responsible for payroll, pensions, compliance and all accounting decisions - your role is to make sure the inputs are complete, accurate and on time.
  • People and team support: Support Anna with people administration. Keep HR records up to date, prepare routine paperwork, help coordinate onboarding and offboarding, track key dates such as probation reviews and contract renewals, and support recruitment logistics - scheduling interviews, managing candidate communications and keeping the pipeline tidy. You'll also help create a positive remote-team experience through thoughtful internal communications, recognition, celebrations and team rituals.
  • Company meet-ups: Organise Ellipsis’s company meet-ups, including researching and budgeting locations, booking travel and accommodation, and arranging restaurants, meeting rooms and activities. You’ll need to think carefully about cost, travel time, comfort, accessibility, dietary requirements and contingencies to create a productive and smooth trip for the whole team.
  • Wider business priorities: Take on well-scoped work that helps Anna and the Senior Leadership Team move wider company priorities forward. This might include preparing information and options, coordinating input from colleagues, drafting communications, updating trackers, following up actions and taking a partly formed request through to a reliable conclusion.
  • Travel and conference support: Support Anna, Alex and, occasionally, other Leadership Team members with conference travel. This includes booking flights and hotels, preparing clear itineraries, organising client dinners or agreed gifts, and looking for ways to make their time away from the business as effective as possible.
  • Confidentiality and judgement: You will handle confidential information relating to the business and team. You must use discretion, keep records accurate and know when a sensitive issue, decision or uncertainty needs to be escalated to Anna.

Own Driver Engagement in Your Region

The Commander Coordinator is the person who makes sure Airspace’s driver network in a region runs well day to day. Where the Regional Network Manager owns the complete supply picture for the region — strategy, agent partners, and escalation — the Commander Coordinator owns the direct, ongoing relationship with every Commander and Copilot driver in that region: keeping Tier 1 drivers engaged, Tier 2 drivers progressing, and Tier 3 drivers identified and resolved before they affect service.

This is a support role to the Regional Network Manager, not a standalone strategy seat. You are the direct line to drivers — the person they know, trust, and call — and the person your Regional NM depends on to know the true state of the driver pool in the region at any given time.

Like agent support, driver support is a tiered model — attention scales with where a driver sits in the network rather than spreading evenly across the whole population. Tier 1 drivers get high-touch, relationship-driven attention. Tier 2 gets consistent, standard engagement and onboarding support. Tier 3 gets focused attention aimed at surfacing issues early and, once authorized, executing deactivation cleanly. Getting that allocation right is the core judgment call in this role.

What You’ll Do

Tier 1 Drivers (High performers)

  • Provide high-touch support to Tier 1 Commander and Copilot drivers, including regular check-ins to maintain engagement, address concerns, and reinforce performance standards
  • Serve as the primary point of contact for Tier 1 drivers in your region

Tier 2 Drivers (General population & new drivers)

  • Support the general driver population and new drivers through onboarding, ramp guidance, and routine engagement — helping drivers build familiarity with Airspace standards and expectations early
  • Monitor Tier 2 performance through automated reporting, flagging drivers trending toward Tier 3 before issues escalate

The Opportunity

The Agency Systems Manager is responsible for maintaining, configuring, and continuously improving VisionPoint’s operational systems—ensuring data accuracy, streamlined processes, and a friction-free experience for internal teams. This position owns the integrity and clarity of VisionPoint’s operational data. The Agency Systems Manager reports directly to the Chief Financial Officer and partners closely with the Senior Director of Client Operations, Chief Client Officer, COO, Service delivery leaders, and the broader Client Operations team. Together, they streamline processes, enhance efficiency, deliver clean reporting, and support the agency’s growth. What You’ll Do

Systems Administration & Process Management

  • Serve as the champion and primary administrator of VisionPoint’s internal systems and operational platforms.

  • Maintain and optimize VisionPoint’s project management platform (ClickUp), CRM (HubSpot), and other agency tools—including building dashboards and widgets—to ensure clean data, clear structure, and ease of use across teams.

  • Administer system permissions, templates, views, workflows, and automations to drive operational consistency and efficiency.

  • Lead user training and ongoing support to ensure team members are using systems effectively and consistently.
