About the Position:

As the Senior Sales & Customer Success Operations Manager, you will be the business partner embedded deeply within Sales and CS, owning operational execution. You’ll spot the friction and pain points, see exactly where workflows and processes break down, and define what actually needs to change — whether it’s a workflow, a checklist, an ROE, or a comp trigger.

You bring the process rigor and the Business Systems team brings the technical chops to build durable & scalable systems. You define the what and why, translating a business need into a specific, buildable requirement — but you don’t touch the systems yourself. The throughline across everything you do is reducing operational burden, especially manual work, so sales reps and customer success teams can focus on what actually drives impact.

This role reports directly to the Head of Revenue Operations and will not have any direct reports.

Responsibilities include:

General duties

  • Comp operationalization: defines comp calculation logic, QA’s plan payouts, and maintains SPIFF/addendum tracking — the operational counterpart to comp design

  • Ad-hoc reporting for both teams

  • Spotting and specifying process improvements that make day-to-day easier

Sales Operations

  • Own territory transfers, assignment, and evaluation with sales leadership.

  • Partner with Finance and Sales leadership to build and enforce the discount approval workflows, and support the deal desk function for non-standard deal configurations.

  • Define pipeline stage entry and exit criteria across the sales lifecycle.

  • Own forecasting and pipeline health reporting — building and maintaining the reports reps and managers actually use day to day.

  • Process end of month commissions and SPIFF payouts accurately

  • Document sales rules of engagement (ROE) and maintain the source of truth for processes and Salesforce materials.

Onboarding Operations

  • Define and manage the onboarding checklist, escalations, stages, and SLAs. Prioritize “what actually matters” based on evidence, not habit.

  • Establish consistent handoff process from sales to onboarding and Restaurant success

  • Partner with Business Systems on Salesforce implementation needs — custom fields, reports, or automations.

  • Ensure proper tracking is in place to assess impact once changes go live.

Customer Success Operations

  • Define and manage customer stages from onboarding through adoption, renewal, expansion, and churn.

  • Establish health score logic (what inputs should matter & why), account risk alerts, and workflows with leadership.

  • Operationalize new customer segmentation based on revenue and potential (new segmentation design sits with the GTM Strategy lead)

  • Reallocate account portfolios balancing RSM workload

  • Partner with GTM leadership on capacity planning to ensure workload matches team bandwidth and reps are focused on the highest-impact accounts & tasks to drive the best outcomes

  • Process end of month commission and SPIFFS

  • Define outreach sequence logic and cadence for hibernated, downgrade accounts and win back accounts, partnering with Business Systems on build.

Reporting and Process Improvement

  • Develop and maintain accurate customer data and team activity in Salesforce

  • Own data hygiene for clean reporting

  • Recommend and implement process improvements that reduce manual work and improve operational efficiency and consistency.

  • Audit CRM data, fields, objects, and lifecycle stages to ensure alignment with business processes.

You Should Apply If You:

  • Have 6+ years of experience in sales operations, revenue operations, customer success operations, or a similar cross-functional business partner role. Experience with comp plan administration or SPIFF/addendum tracking is a plus

  • Have strong operational judgment — you know exactly what a rep or post sales rep needs to be more effective, and can turn that into a clear, buildable requirement rather than a vague ask

  • Are comfortable navigating Salesforce, Outreach, and Gong (PlanHat is a nice to have) well enough to build your own reports and pull ad-hoc data

  • Are fluent enough in systems and data to speak the same language as a Biz Systems or engineering counterpart, without losing anything in translation

  • Have strong problem-solving skills, with the ability to navigate ambiguity and drive solutions proactively while working with minimal direction

  • Are comfortable in a fast-paced, scrappy work environment and aren’t afraid to ask probing questions

  • Have a high attention to detail, as your specs and reporting directly shape what gets built and how performance gets tracked

  • Have strong interpersonal and communication skills with the ability to interact with employees of all levels, including sales and CS leadership

  • Have a proven ability to make data-informed decisions and thrive in a dynamic environment under short timelines with changing priorities

  • Can diagnose root cause — distinguishing whether a performance gap is a training issue, a metrics/reporting issue, or a comp misalignment issue

Responsibilities include:

Reporting & Workflows

  • Own top of funnel lead routing & assignment, scoring, enrichment, and lifecycle management, built and maintained directly in HubSpot. Partner with Biz Systems on LeanData-side configuration

  • Establish clear rules of engagement and ensure attribution logic is accurate, so leads are correctly mapped to the right channel — maintaining the data integrity needed to measure channel ROI with confidence.

  • Partner with the B2B Marketing team to improve lead management and nurture across all channels (marketing, partnerships, rep-gen) — how and when leads get warmed for the Sales team.

  • Forecast and project expected pipeline contribution by channel to support GTM planning.

Marketing Ops

Job Overview:

You own our major Southwest markets end-to-end, with our highest priority focus in Arizona and Texas. That means identifying problematic areas in the market before a scorecard tells you, knowing where supply and demand are out of balance, carrying the relationships with our highest-volume servers yourself, and being accountable for the region hitting its KPIs. This role is well suited to someone who has previously worked in a market that was underperforming and knows how to turn it around.

You bring a data background — someone who doesn’t wait for a report but goes and collects the data themselves, then pairs it with on-the-ground judgment to decide what to do next.

This role sits at the intersection of strategy and execution. You’ll collaborate with centralized Process Server Network teams and with project managers to implement changes on the ground. You drive real change in your market and feed learnings back so what works in the Southwest can scale across the network. You’ll also work closely with Compliance when improvements touch evidence chain or court delivery, and with Support & Experience teams on network-facing communications and support tooling.

This is a builder role. You’ll be writing the playbook and executing it in real time. This position is remote, but you must be located in Arizona or Texas.

What You’ll Own

  • Supply and demand balance across SW regions to identify coverage gaps, recruit new process servers, manage dispatch strategies, and increase server capacity in AZ and TX as the priority markets
  • Identifying problematic areas in the market — spotting where performance is slipping and diagnosing the root cause before it shows up on a scorecard
  • Relationships with the region’s highest-volume servers as the face of ABC Legal in-market, not a name on an email
  • Root cause analysis when something’s off, to clearly define the problem and provide recommended next steps, not just a flag
  • Incident response for your region when something breaks in-market (an app outage, dispatch bottlenecks, a weather disruption), you’re the point of contact translating what’s happening on the ground into real-time guidance for the network and for leadership
  • Execution of marketplace pilots includes running tests in market, tracking what’s actually happening on the ground, and reporting back with speed and honesty, working closely with project managers to scope and track this work
  • Regional incentive spend within your allocated budget, in partnership with the Sr. Director on structure and guardrails; you flag when a program is running hot before finance does
  • Regional SLO attainment by tier, coverage gap closure, and market health reporting

What We’re Looking For

You’ve owned a local market for a gig, delivery, or field service business, ideally one that was underperforming when you took it on. What matters most is that you’ve actually balanced supply and demand by combining in-market observations with data you collected yourself, coached someone to higher performance in a frontline or contract role, managed W2 employees through the formal parts of the job (time cards, performance reviews), and are willing to experiment, iterate, and quickly scale the best learnings.

Qualifications:

  • Experience owning a local market, territory, or region in a marketplace, gig, or field operations environment, including experience working in a market that was underperforming
  • A data background — someone who collects the data themselves rather than waiting for a report — combined with on-the-ground judgment; you can look at a dispatch or SLO dashboard and immediately know what to ask next
  • Experience managing W2 employees, including approving time cards and completing performance reviews
  • Comfort working with project managers to scope and execute in-market initiatives
  • At least one direct report you can speak to specifically, not just that you had headcount, but how you coached them
  • Desire to be on the ground in the market; this is not a remote strategy seat
  • Ability to distill what you’re seeing in-market into crisp, actionable feedback that a strategy team can actually use to iterate
  • Can communicate market health clearly enough that leadership doesn’t have to chase you for it; written updates, not just verbal color, when it matters

Preferred Qualifications:

  • Has run structured pilots or tests with clear hypotheses and handed back learnings that scaled
  • SQL or dashboard fluency (Metabase, Looker, Claude Code); wants the data rather than waiting for a report
  • Comfortable working in Jira or a similar tracker to scope and follow pilots through to completion, and in a platform like Intercom for network-facing communication
  • Experience building in ambiguous environments where the playbook didn’t exist yet
  • Has managed someone in a contract or hourly role and understands how that coaching differs

Your most important responsibility is helping Alex maximise his time, protect his attention, reduce unnecessary context-switching, and stay focused on the work where he adds the most value.

  • Calendar management: Own and manage Alex’s diary and calendar. Protect focused work and create space for strategic priorities. Make sensible scheduling decisions using your knowledge of Alex’s priorities, resolve clashes proactively, and account for preparation, travel time, location, time zones and the purpose of each meeting. Challenge or reorganise meetings where there is a better use of Alex’s time, and make sure Alex has the right preparation and information before important meetings.
  • Inbox and communication: Assist the Managing Director with maintaining an organised and efficient inbox, including drafting replies or responding directly on his behalf at times. Effectively triage emails, understand possible courses of action, and present information to Alex in a way that lets him quickly provide a batch of responses that unblock you. Chase outstanding replies, actions and commitments, and build templates and systems for recurring email patterns so that important messages and obligations do not disappear.
  • Briefings: Prepare a clear, concise morning briefing for Alex at the start of each day before he logs on (8.30am uk), giving him an overview of his schedule, priorities, deadlines, outstanding decisions and follow-up. Monitor his relevant communication channels, use judgement to identify what needs his attention, and make sure he is reminded of important to-dos, commitments and preparation ahead of time. These briefings are sometimes also required in the afternoon. 
  • Day-to-day tasks: The remit of this role is not “follow this clearly defined process every time”, but “take this mostly finished project and figure out how to proactively take it to completion”. These tasks might touch project management, writing/editing, triaging information, posting on LinkedIn, research, drafting communications and ensuring action is taken. You’ll need to work out the information, stakeholders, decisions and follow-up required, rather than waiting for every task to arrive as a fully documented process.
  • Meetings: Prepare for meetings, including ensuring slides, agendas and internal notes are prepared. Your goal is to ensure we utilise meeting time most effectively and are able to put our best foot forward. Use approved AI tools to capture and summarise meetings where appropriate, then check the output for accuracy and missing nuance. Extract decisions, actions, owners and deadlines; create follow-up tasks and communications; and make sure agreed actions are completed.   • Travel: Coordinate complex travel for Alex. Prepare clear itineraries and manage flights, hotels, transport, meetings, dinners and contingencies.
  • Occasional personal administration: This is a business-focused role and the overwhelming responsibility is with the business. You may be occasionally asked to take care of personal admin for Alex where this meaningfully protects his time.

 

Support to Anna and the wider business 

You will report directly to Anna. Outside of supporting Alex, your role is to help her deliver wider team and business priorities.

  • Finance administration: This is an important part of the role. Support Anna with Ellipsis's day-to-day finance administration. This includes filing expenses, collecting invoices and receipts, preparing client invoices for review, gathering freelancer and supplier invoices, preparing payment information for approval, and chasing late client payments. You'll keep records accurate and tidy, help manage the finance inbox, and flag discrepancies promptly. Anna and our accountants remain responsible for payroll, pensions, compliance and all accounting decisions - your role is to make sure the inputs are complete, accurate and on time.
  • People and team support: Support Anna with people administration. Keep HR records up to date, prepare routine paperwork, help coordinate onboarding and offboarding, track key dates such as probation reviews and contract renewals, and support recruitment logistics - scheduling interviews, managing candidate communications and keeping the pipeline tidy. You'll also help create a positive remote-team experience through thoughtful internal communications, recognition, celebrations and team rituals.
  • Company meet-ups: Organise Ellipsis’s company meet-ups, including researching and budgeting locations, booking travel and accommodation, and arranging restaurants, meeting rooms and activities. You’ll need to think carefully about cost, travel time, comfort, accessibility, dietary requirements and contingencies to create a productive and smooth trip for the whole team.
  • Wider business priorities: Take on well-scoped work that helps Anna and the Senior Leadership Team move wider company priorities forward. This might include preparing information and options, coordinating input from colleagues, drafting communications, updating trackers, following up actions and taking a partly formed request through to a reliable conclusion.
  • Travel and conference support: Support Anna, Alex and, occasionally, other Leadership Team members with conference travel. This includes booking flights and hotels, preparing clear itineraries, organising client dinners or agreed gifts, and looking for ways to make their time away from the business as effective as possible.

The Regional Senior Associate - Italy, Southern Europe and Africa  is a key member of the Italy, Southern Europe, Africa Delivery team. This is a hybrid commercial and operational role. You will own high-value custom requests from first enquiry to confirmed booking, and you will hold deep knowledge of the regional portfolio. The role has two equal halves. The first is client-facing and commercial: converting custom enquiries, advising clients and advisors, and maximizing the value of each booking. The second is behind the scenes: keeping the regional portfolio accurate and fulfillable, working directly with our experts, and using data and tools to improve our regional operations.

The role reports to the Regional Senior Manager - Italy, Southern Europe and Africa, and will work closely with the Regional Director and the Regional Delivery team.

ROLE AND RESPONSIBILITIES

  • Own the end-to-end journey for custom and high-value regional requests, from initial qualification and proposal design to closing the sale and identifying upsell opportunities.
  • Serve as the primary, proactive contact for clients and advisors, ensuring all proposals are commercially sound, operationally feasible, and accurately tracked.
  • Maintain expert knowledge of the ISEA portfolio to ensure fulfillability, support product development, and turn recurring custom requests into repeatable products.

WHAT YOU’LL BRING

Required

  • 2+ of experience in travel, hospitality, or a comparable client-facing commercial role.

Systems Administration & Process Management

Intake is the first point of contact for injured claimants and the engine that converts inbound leads into signed clients. We’re looking for a Senior Manager, Intake to own the performance, scale, and quality of a large, distributed intake operation that spans in-house staff and nearshore/BPO partners.

This is a hands-on leadership role for someone who has run high-volume intake or contact-center teams at scale, knows how to get the most out of outsourced and nearshore vendors, and is fluent in the systems and technology that keep a modern intake operation running. What You’ll Do

Lead the intake operation

Car Rental Support

  • Manage routine Turo customer communication
  • Communicate with Turo support when necessary
  • Assist with rental scheduling and customer-related workflows
  • Support the client’s developing private car rental operation
  • Maintain accurate rental and customer information
  • Company is transitioning to run dual tech stack with Turo and one prime rental service (like Enterprise, Alamo, etc)
    • VA must have ability to follow up and pitch this to clients, promoting the transition to private platform

Administrative & Technology Support

  • Work across the client’s existing and newly implemented business applications
  • Use remote desktop systems when required
  • Maintain organized records, trackers, and communications
  • Use AI tools such as Claude or similar platforms to improve recurring workflows where appropriate
  • Identify repetitive tasks that may be streamlined or automated
  • Learn new systems and processes as the business expands

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Previous business support, operations, executive assistant, or customer service experience required
  • Property management or real estate experience is a strong plus but not required
  • Turo, car rental, or transportation experience is a plus
  • Strong phone, SMS, WhatsApp, and email communication skills
  • Experience coordinating contractors or service providers preferred
  • CRM and business software experience required
  • AI/LLM experience strongly preferred
  • Strong ability to learn complex client-specific processes

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

An experienced California Realtor is seeking a part-time Real Estate Transaction Coordinator Virtual Assistant to support the paperwork and administrative side of residential real estate transactions.

The primary responsibility is ensuring transaction documents, disclosures, signatures, and files are prepared and maintained accurately. The client has an established checklist and uses SkySlope to track required documents throughout each transaction.

The ideal candidate has direct U.S. real estate transaction coordination experience and is already familiar with common real estate terminology, transaction documents, disclosures, and electronic signature workflows. California experience is preferred but not required.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Transaction & Document Coordination

  • Prepare seller disclosures and other required transaction documents
  • Prepare buyer representation and related paperwork
  • Send documents for electronic signature and follow up on outstanding signatures
  • Review documents for completeness and proper execution
  • Ensure signatures, initials, and required information are in the correct locations
  • Upload completed documents into the appropriate transaction files
  • Assist with basic MLS-related administrative tasks as needed

SkySlope & File Management

  • Maintain transaction files and required documentation within SkySlope
  • Follow established transaction checklists
  • Monitor missing or outstanding forms
  • Upload completed documentation into the appropriate locations
  • Keep files organized and current throughout the transaction
  • Flag missing information or documentation for internal review

Email & Administrative Support

  • Communicate with clients and transaction parties primarily through email
  • Draft clear, professional emails with proper grammar
  • Follow up regarding documents and signatures as directed
